Privacy Policy

Information We Collect

We collect account details you provide, such as your name, email addresses, phone number when used for verification, role information, employer details, professional record entries, uploaded proof files, feedback records, app preferences, and support requests. For Student / Intern accounts, we may also collect a school or training institution, program name, and anticipated completion date when you choose to provide them, along with any optional student-outreach choice.

How We Use Information

We use your information to operate DirectorProof, save your professional record, prepare record summaries or exports you request, provide account security, send product or vault reminders you choose to receive, process subscription access, respond to support requests, and improve reliability. School and program information is used to tailor the student experience, understand school-level adoption, and improve student resources. It is not required for free Student File access. We send campus or ambassador outreach only when a student separately opts in; that choice does not affect free access.

Device and Reliability Information

To diagnose sign-in problems and improve reliability across phones, tablets, and computers, DirectorProof records limited first-party session information. This includes a random browser-session identifier, a coarse device and viewport category, browser and operating-system family, app release, sign-in method and outcome, the page path without search parameters, and allow-listed product-journey actions such as opening a professional or student sample, starting or completing setup, and saving records. This can also include coarse Use & Share progress, such as opening the workspace, choosing a source-count range, preparing or reviewing a draft, making an edit, and copying or exporting reviewed wording. Use & Share telemetry records only allow-listed account, purpose, source category, count-range, review-area, and release-method labels—not the selected records or generated wording. After a student's first successful save, we may show one optional student value question with a small set of predefined answers; telemetry records only the selected answer or that the question was skipped. These events may include a broad audience lane, fictional sample persona, destination, record category, an allow-listed acquisition source (such as the home page, student page, school, referral, association, community, search, or paid campaign), and a short sanitized campaign code. They do not include names, email addresses, form contents, record text, free-text survey responses, or uploaded files. We do not use this information to identify the exact device, and we do not store passwords, exact screen dimensions, raw user-agent strings, or device fingerprints in this telemetry. Session and product-journey telemetry is retained with our operational history for a limited period.

Students and Schools

DirectorProof does not use one student's private record to identify or contact classmates, and we do not disclose a student's identity or private record to a school merely because the student lists that school. School-level product reporting is designed to use grouped information rather than individual records. Students can change their optional outreach choice in the Setup Guide.

Sharing

Your private career record is not sold. We share information only when needed to operate the service, when you choose to export or share it, when required by law, or with trusted service providers such as hosting, email, authentication, storage, analytics, and payment processors.

Business Accounts

If a funeral home or organization sponsors access, DirectorProof may show team readiness or business-level information intended for that organization. Private notes, unapproved feedback, and personal career records are not shared with a business unless you deliberately export, publish, or share them.

Data Controls

You can request a copy of your account data or ask for deletion through the app or by contacting us. Some records may be retained when needed for security, fraud prevention, legal compliance, billing, backups, or dispute resolution.

Security

We use reasonable technical and organizational safeguards for account and record data. No internet service can guarantee perfect security, so users should avoid storing unnecessary third-party private information, including full family names or sensitive case details that are not needed for a professional record.
